How to Create a Mailing List in Gmail for Business Use
Although free, Gmail remains a great communication tool for small businesses. Many of Gmail’s options are hidden from view, causing features like mailing lists, group contacts, and mass emails to go unused.
As a business, you have the power to create different groups according to your criteria and distribute emails without making it a repetitive task. This type of feature is usually associated with a premium service, but it is available in Gmail for free.
Commercial use includes internal memos for individual recipients, team-specific emails, and external mailings to customers and partners.
Gmail’s limitations are enough to cover the needs of a small to medium business. The recipient limits per message are up to 500 addresses, while the message size follows Gmail’s standard limit of 25MB. For high email density environments, Gmail has a daily cap of 150 e-mail. mails.
Best of all, it’s easy once you know how to create a mailing list in Gmail. In this guide, we will be following the latest version, but there is also an option to revert to the old format.
How to make a mailing list in Gmail
List creation
Step 1 – Log in and click on the “Gmail” drop-down menu at the top left.
2nd step – Select “Contacts” which will open a new window. There you will find your entire contact list on the right and an options menu on the left (this is where you will find the âGo to old versionâ option).
Step 3 – Click on the âLabelsâ drop-down menu.
Step 4 – Click on “Create a label” which will open a small input box.
Step 5 – Enter your new name specific to the group.
Once you click âOKâ you will see your new group under âTagsâ, with the option to create another tag.
Add contacts to your Gmail mailing list
You can always add members to this group by adding the label directly to their contact.
Start by clicking on the contact you have chosen.
Then click on the âManage Labelsâ icon and choose the appropriate label from the drop-down menu.
A pop-up window will appear confirming that the contact has been added.
Use the Gmail mailing list
Your group is now created, you have added your contacts, and you are ready to start broadcasting emails.
When you click on the âMarketing Departmentâ label, all associated contacts will appear with this navigation bar at the top.
The bar will display the number of selected contacts as well as the options for: Merge, Manage labels and Send email:
Once you click on the “Send Email” icon, the familiar Gmail compose window will appear.
You will notice that the address of all group members will be entered in the âTo:â field.
From there, you’ll follow the standard procedure adding your subject, message content, and any attachments. Hit “Send” and you’re done.
